The person in this position is responsible for the operational set-up and take-down of Exhibit Program events including all aspects of the plaza layouts, construction, décor, inventory, maintenance and storage of Exhibit Programs materials.

This Coordinator is responsible to provide effective management of subcontractors, equipment and operational set-up and take-down, maintenance of equipment and appropriately document all services.  This area of responsibility also includes management of, and recommendations for, equipment inventory updates.

The position requires construction knowledge as well as the ability to work outside in varied weather.  The majority of tasks are not considered office duties.

The successful candidate will demonstrate strong organizational skills; the ability to handle multi-tasking and to meet deadlines under pressure; to problem solve in a prompt and effective manner; is able to work flexible shifts and extended hours, and their attention to detail must be unsurpassed. 

This position works closely with both internal and external clients.  Therefore excellent interpersonal skills are critical for the successful candidate taking this position.

   

RESPONSIBILITIES:

  • The Coordinator, Plaza Exhibits is the primary person responsible for the operational set-up, execution and take-down of Exhibit Programs events (Spruce Meadows Tournament Exhibitions and International Christmas Market) and their related entertainment.

  • This person is responsible for providing professional and effective management of subcontractors; ensuring final work meets the Spruce Meadows standards and is completed on schedule.

  • The Coordinator, Plaza Exhibits is further responsible for Spruce Meadows plaza equipment/décor. This includes but is not limited to, creating and maintaining reports, tracking history, and listing equipment inventories with recommendations for preventative maintenance, repair or replacement.

  • In some situations, this person will undertake miscellaneous repairs of equipment and décor inventories.

  • Additionally, the Coordinator, Plaza Exhibits will develop and nurture positive, professional client relations, identify issues, gather and evaluate bid proposals, including estimated project duration, cost and resource requirements.

   

REQUIREMENTS

The successful candidate will report directly to the Manager, Exhibit Programs.

This person must follow, endorse and support the Spruce Meadows decision making processes.

The individual in this position must have the ability and knowledge to identify problems and solve them with minimal support.

The ability to effectively communicate, solve problems, and multi-task.

The ability to make decisions in support of excellent customer service.

It is understood that although the successful candidate will report to the Manager, Exhibit Programs, the successful candidate will coordinate requirements with all departments and relate with a variety of sub-contractors.  Successful interaction with these departments and contractors is a critical aspect of the authority in this position.    

Minimum Requirements

  1. Must be competent in written and spoken English
  2. Must have a valid Class 5 driver’s license
  3. Must be bondable
  4. Must be able to work extended hours and weekends
  5. Must be in good physical condition
  6. Must take pride in their personal deportment

Skills and Competencies

  1. The applicant should have a minimum of 5 year experience in coordinating special events, conventions or tradeshows.
  2. Possess a working knowledge of computers including Microsoft Office.
